In traditional ChatGPT conversations, each session resets when you start a new chat. While this works well for quick queries, it’s not ideal for ongoing work. ChatGPT Projects offer a persistent workspace where you can organize long-term discussions, manage documents, and track progress over multiple sessions. This makes Projects a valuable tool for structured workflows, content creation, research, and collaboration.

What Are ChatGPT Projects?

ChatGPT Projects introduce a structured, long-term workspace that allows users to maintain continuity across multiple sessions. Unlike standard ChatGPT chats, where the conversation resets each time, Projects store documents, notes, and even uploaded files in a persistent environment.

Key Features of ChatGPT Projects:

  • Persistent Workspaces – Your work remains saved, allowing you to pick up where you left off.
  • Canvas for Documents & Code – Draft and edit text-based documents or code directly in the project.
  • File Management – Upload and organize files to keep all relevant materials in one place.
  • Task Organization – Maintain structured notes, iterations, and ideas without losing progress.
  • Potential Collaboration (Future Possibilities) – If enabled, Projects may allow for multi-user access and shared workspaces.

When to Use ChatGPT Projects

Many tasks require more than a single-session conversation. If you find yourself copying and pasting responses into another tool or repeatedly restarting discussions on the same topic, a ChatGPT Project can save you time and effort.

Example Use Case: Writing a Book

Imagine you’re writing a book. In a regular chat, every time you start a new session, you’d have to reintroduce your ideas. With a Project, you can maintain a persistent draft, store research notes, and iterate on chapters—all without losing progress.

How to Use ChatGPT Projects

ChatGPT Projects can be accessed directly from the ChatGPT interface. Look for the Projects tab in the main navigation bar. Here, you’ll find an organized list of all your saved projects, making it easy to pick up where you left off. Unlike regular chats, which reset each session, Projects provide a persistent workspace where you can maintain documents, notes, and files over time. You need an paid ChatGPT subscription to find these options in your interface.

Lets start by creating our first project.

Step 1: Creating a New Project

  • In the left navigation bar, find 'Projects' and click on the '+' sign next to it.
  • In the New Project window, enter a descriptive name for your project and click 'Create Project'

Step 2: Managing Workflows and Files

  • Once the project is created, you will see the following window. You can start chatting within your project or even drag an old chat into the project and continue it as a part of the project
  • In you project you can add files that serve as context for your project and also instructions on how you would like ChatGPT to respond.
  • In this example, we are creating a project to build on a Growth plan for a software company. Lets add a few files that will give context to our project. Click on add files and choose the files you would like to upload. You can choose multiple files at a time.
  • Once the files are uploaded, they will be stored as a part of the project and referred by the GPT for context. Now, lets add instructions for the GPT. Click on the edit icon and type or paste in instructions for the GPT.
  • Type or paste in instructions that you want the GPT to follow. These instructions could add additional context that would help your work, or define the tone and approach of the GPT.
  • Now that your instructions and project files are in place, you are ready to start chatting with your GPT.
  • Throughout your work within the project, all your chats will be persistent and you can find them in your navigation bar on the left side, under the name of the project. You can have multiple projects and switch between them. Each project can have its own files and custom instructions.
  • You can also switch between models in different chats within the project. For Ex, if you want to use a reasoning model like o1 or o3-mini for complex reasoning tasks, you can do so. It will still utilize the context provided by the files and instructions stored at the project level.

Pro Tips

Using ChatGPT Projects effectively means not just storing information but actively shaping it into a structured, evolving workspace. Here are some best practices to maximize long-form work and organization.

  • Use Strategic Files That Add Context: Upload key reference files that provide background or essential details for your work. If the project evolves, ensure these files stay updated so context remains accurate.
  • Add GPT Instructions That Align With Your Project Goal: Customize instructions for ChatGPT to guide responses effectively. For example, if you are writing a sci-fi novel, instruct GPT to take on the mindset of a fiction writer for better output.
  • Summarize Important Brainstorming Sessions: When new ideas emerge through discussions, ask ChatGPT to generate a summary and store it in the project files. This helps maintain evolving context without losing critical insights.
  • Break Large Projects Into Sections: If working on a complex task, split it into structured parts or separate documents within the same project for better organization and focus.
  • Use Projects for Ongoing Collaboration: Think of Projects as a persistent workspace for collaboration with AI. Context is important for long-form work and Projects help add and organize that context.

Wrapping Up

ChatGPT Projects provide a structured way to work on long-term tasks without losing context. Whether you’re a writer, researcher, developer, or business planner, these workspaces enable better organization and efficiency. As OpenAI continues to expand its features, expect even more powerful capabilities in the future.
